This privacy notice tells you what we do with your data if you follow or engage with our work in the following ways:
Attend events or training sessions
What information do we collect?
We collect a range of information from delegates including (but not limited to) name, job title, organisation, address, phone number, email, access/dietary/language requirements, training session/event booked on.
Photography and filming may occasionally take place at our events. This is used for publicity purposes by AWF. If you have said that you do not wish your photograph to be taken/used for publicity, you will be given a yellow badge to wear and no images featuring you will be used.
How we use the information?
We use your information to contact you with confirmation of your booking/attendance. We also use it to send reminder emails and information about the event. It is also used to produce delegate lists, ensure adequate health and safety at the event and to issue invoices.
We may also contact you if we think you may legitimately be interested in similar events AWF is running.
When appropriate/ necessary we share your details with relevant third parties including trainers, caterers, and venues to ensure your needs are met.
Photographs and films taken at AWF events may be used for AWF publicity – including website, social media and publications and promotional materials e.g. banner stands, presentations.
Your information will also be anonymised for reporting purposes.
Make an enquiry
What information do we collect?
When you submit an enquiry to AWF by phone, by email or in person your enquiry and contact details will be recorded and stored.
How will we use the information?
We will use this data to respond to your enquiry. We will also use it for reporting purposes - to monitor the level and nature of enquiries we receive.
We will not share your information with any third parties unless you ask us to do so or we have asked for your consent in advance.
If you are a stakeholder (such as an organisation or individual we work with, or you’re interested in working with us)
What information do we collect?
We will collect and store your business contact details if you:
- work with us or might be interested in working with us
- work for an organisation that undertakes relevant work
- are an academic or researcher in a similar field
- work in press/media/journalism
- any other relevant stakeholder
How will we use the information?
We will use this data to liaise with you about related work, events, training, research or our other activities. If you provide us with your personal contact details we will only contact you with your prior consent.

We will use this data so that we can send the information to you. We do this with your consent.
If you opt out of hearing from us we will retain a copy of your contact details and preferences in relation to these to ensure that you are not contacted in the future. This is necessary for us to comply with our legal obligation to respect your request.

We will gather the data you provide to us. This may include special category data (i.e. about protected characteristics relevant to the evidence requested).

We will use this data to analyse and use it as evidence for the purpose stated in the activity.
You provide us with your story or details about your experience for a case study
What information do we collect?
With your explicit consent we will collect details that you provide us about yourself and your story or experience(s) in written, audio, or video format.
This may include personal and special category data about you.
We will also collect your contact details, which are not published, so that we can liaise with you about the case study itself.
How will we use the information?
We will use the data to publish publicly a case study.
How long we keep your personal information
We will only keep your personal information for as long as it’s needed.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
